Turf Renew INC (“Turf Renew,” “we,” “us,” or “our”) respects your privacy. This Privacy Policy explains how we collect, use, and disclose personal information when you visit www.turf-renew.com (the “Website”), request an estimate, receive services, use our customer tools, apply to work with us, interact with our advertising, or communicate with us.

This policy provides notice of our practices. It does not, by itself, obtain consent to marketing messages or tracking where separate consent is required.

1. Information We Collect

Depending on your interactions with us, we collect:

Contact information: Your name, email address, telephone number, service address, and billing or mailing address.
Property and service information: Turf type, size, condition, property access information, use of the space, pet-related concerns, requested services, photographs, estimates, appointments, and service history.
Transaction information: Services purchased, invoices, payment status, and limited payment-related details. Payment providers process payment-card details; we do not ordinarily store complete card numbers ourselves.
Communications and preferences: Emails, text messages, inquiries, form submissions, feedback, and records of communication preferences and consent.
Application information: Contact details, work experience, availability, and other information you voluntarily provide when applying to work with us. Additional hiring-related notices may apply if we proceed with an application.
Website and device information: IP address, browser and device information, approximate location derived from an IP address, referring pages, pages visited, interactions, timestamps, and cookie or similar identifiers.
Advertising information: The campaign or advertisement associated with your visit, interaction information, and details you submit through an advertising-platform lead form.

We receive information directly from you, through Website technologies, and from providers and platforms involved in your interactions with us. These include our website platform, Wix; our customer-management platform, Jobber; and payment, communication, analytics, and advertising providers.

Please do not include payment-card numbers, Social Security numbers, medical information, or other sensitive information in general inquiry forms or photo uploads.

2. How We Use Information

We use personal information to respond to inquiries; prepare estimates; schedule, provide, and improve services; manage customer accounts and payments; communicate about service; review job applications; maintain records; and protect our business, customers, and systems.

We also use information to understand Website performance, measure advertising results, and, where permitted and consistent with your choices, send marketing communications and provide relevant advertising. We may use information to comply with law, resolve disputes, enforce agreements, or carry out another purpose explained at collection.

Photographs submitted by a customer for an estimate are used to evaluate the request and support service-related operations; submission alone does not authorize public marketing use. We may also take photographs and video of turf, surrounding work areas, equipment, and project conditions before, during, and after service. With authorization in an accepted estimate, service agreement, or release, we may use material we create in our website, portfolio, social media, educational materials, and paid advertising. We do not seek separate approval for each image or publication when an existing authorization covers that use. We do not publish identifiable people, exact street addresses, or sensitive personal details without additional appropriate permission. The authorization does not override another person's rights.

3. Facebook, Instagram, and Meta Advertising

We may advertise on Facebook and Instagram, which are operated by Meta. Depending on the advertising features we enable, our advertising activities may include the following:

Lead forms: If you submit a Facebook or Instagram lead form, Meta provides the information you submit to us so we can respond. A request for an estimate is not automatically an enrollment in promotional text messages.
Meta Pixel: This browser-based technology can communicate Website activity, such as page views or an estimate-request event, to Meta.
Conversions API: This technology can send Website or customer events from our website platform or connected systems to Meta through a server-side connection.
Audience features: We may use permitted audience tools to reach previous Website visitors or other relevant audiences. Customer-list matching, if enabled, can involve contact identifiers subject to the restrictions below and your applicable choices.

Information involved may include page addresses, event names and times, browser and device information, IP addresses, cookie identifiers, and advertising identifiers. We may disclose customer telephone numbers and email addresses to Meta, typically in hashed form, for customer-list audiences, matching, advertising measurement, and related advertising features, where permitted and consistent with applicable choices. Hashing is a matching technique; it does not necessarily make information anonymous. This use is for advertising on Meta's platforms, not for sending promotional texts. Permission to send a service-related text is not itself permission for advertising use; we use contact information for matching only where we have the necessary rights, permissions, and lawful basis.

We use these features to measure campaign results, understand which advertisements lead to inquiries, improve ad delivery, and provide relevant advertising. Meta may associate information with its users and process it under its own terms and privacy policy.

The messaging-data restrictions in Section 5 apply to all advertising activities described here. We do not intentionally include payment-card information, private service-request narratives, or sensitive personal information in advertising events. Advertising tools remain subject to applicable consent, opt-out, and provider requirements. You can request that we stop using your contact information for customer-list advertising by emailing info@turf-renew.com; we will stop future uploads for that purpose and request removal from our existing customer-list audiences where supported, subject to applicable obligations. This does not prevent all advertising you may see independently on Meta.

4. Cookies and Privacy Controls

The Website uses cookies and similar technologies for essential functionality, preferences, analytics, and, when enabled, advertising. Our cookie settings allow you to manage the categories offered by that tool. You can revisit those settings through the Website’s cookie-settings control.

Where consent is legally required, we obtain it before using the relevant nonessential technologies. Where an applicable opt-out right applies, we honor it as required by law. We apply relevant choices to connected advertising processing, not merely to the display of the cookie banner.

Browser controls can also block or delete cookies. Choices may need to be renewed on another browser or device or after cookies are deleted. Blocking some technologies may affect embedded features. You may contact us directly for assistance requesting service.

Deleting cookies alone does not necessarily stop server-side event sharing or customer-list processing. To request an advertising opt-out beyond the cookie settings, contact info@turf-renew.com. Where applicable law requires recognition of an opt-out preference signal, we process that signal as required.

5. How We Disclose Information

We disclose information as appropriate to:

Service providers: Companies supporting hosting, customer management, scheduling, payments, communications, analytics, security, and other business operations, including Wix and Jobber.
Advertising partners: Meta and other advertising providers involved in the advertising activities described above, subject to applicable restrictions and choices.
Professional advisers: Accountants, attorneys, insurers, and advisers supporting our business.
Legal and safety recipients: When required by law or reasonably necessary to prevent fraud, protect safety or rights, respond to lawful process, or resolve disputes.
Business-transfer participants: In connection with a proposed or completed merger, sale, financing, or similar transaction, subject to applicable protections.
Recipients you authorize: When you direct us to share information or provide appropriate consent.

We do not sell or rent customer lists for money. Some laws define certain advertising-related disclosures as a “sale,” “sharing,” or “targeted advertising” even when no money is paid. Applicable choices are described in Sections 4 and 7.

Messaging data and consent records: We do not sell or share text-message opt-in records, consent records, or private message contents with third parties or affiliates for their marketing or promotional purposes. We may disclose those records to providers supporting message delivery and administration, subject to limits on their use, or as legally required. Customer telephone numbers may separately be used for Meta advertising as disclosed in Section 3, but only where permitted by applicable law, collection notices, customer choices, and provider requirements. If a phone number is subject to a restriction against advertising use, we exclude it from that use. The Meta disclosure does not override restrictions applicable to SMS-related information.

6. Email and Text Messages

We send text messages only for transactional and customer-service purposes, including responses to inquiries, estimates, appointment coordination, arrival updates, service questions, invoices, and payment-related matters. We do not send promotional or advertising text campaigns. We use both our regular business mobile phone and Jobber's messaging system. Some Jobber messages may be automated. Message frequency depends on your inquiries and services; message and data rates may apply.

Jobber messages: Reply STOP to the Jobber number that sent the message to opt out of messages through that number. For assistance, contact info@turf-renew.com or (615) 380-1419, or reply HELP where supported by the messaging service.

Direct business-mobile messages: Tell us in the conversation if you no longer want us to text you, or email info@turf-renew.com. Requests on our regular mobile line are handled by our team rather than an automated unsubscribe system. We honor clear stop requests, including a STOP reply, even where there is no automated response.

We process opt-outs promptly and within applicable legal deadlines. A request to stop all texts is applied across our business messaging channels. We do not switch numbers to bypass an opt-out. You may receive a nonmarketing confirmation where permitted. Necessary service information may instead be communicated through another permitted channel.

If you subscribe to marketing emails, you may unsubscribe using the link in the email. Unsubscribing from promotional email does not necessarily stop separate, nonmarketing emails about a requested service or transaction. We continue to respect applicable communication preferences and legal requirements. Website advertising choices and text-message opt-outs are separate; contact us if you want to exercise both.

7. Your Privacy Requests

Depending on where you live and whether a law applies to our business and the information involved, you may have rights to access, correct, delete, or obtain a portable copy of information, or to opt out of targeted advertising or certain sale or sharing of information.

To make a request, email info@turf-renew.com or call (615) 380-1419. Please describe your request. We may request information reasonably necessary to verify your identity or an authorized agent’s authority. We do not require account creation solely to submit a request.

We respond within applicable deadlines. Exceptions may permit retention or limit a request, including for transactions, legal obligations, security, or legal claims. If we deny a request, we provide information required by applicable law. Where you have an appeal right, you may reply to our decision or contact us with “Privacy Appeal” in the subject line. We provide further appeal or complaint information as required.

We do not unlawfully discriminate against you for exercising applicable privacy rights.

8. Retention and Security

We retain information for as long as reasonably necessary for the purposes described here, considering the customer relationship, the information’s sensitivity, consent and opt-out records, legal and accounting requirements, dispute resolution, and security needs. We may retain a limited suppression record to honor an opt-out.

We use reasonable administrative, technical, and physical safeguards appropriate to the information we handle. No system or transmission method is completely secure, and we cannot guarantee absolute security.

9. Children’s Privacy

Our Website and services are directed to adults, not children under 13. We do not knowingly collect personal information from children under 13. Contact us if you believe a child has provided personal information so we can investigate and take appropriate action.

10. Third-Party Services and Policy Changes

Linked platforms, customer portals, payment services, and social networks may have their own privacy policies. Review those policies when using their services.

We may update this policy when our practices or obligations change. We will revise the date above and provide additional notice or seek consent when required. A later policy update does not itself authorize a materially different use of previously collected information where additional consent is required.
